Senior Hospitality Officer

Your role:

 

Under the supervision of the Hospitality Manager, you will support and contribute to the smooth delivery of all corporate events, client receptions, social activities, and daily hospitality operations. Our mission is to enhance and innovate the client experience by constantly refining the services and environment we offer.

Event & Hospitality Operations

  • Warmly welcome clients, guests, and VIPs during events, ensuring a personalised, attentive, and professional experience.

  • Seasonal building‑wide decorations, such as summer, Easter and Christmas, also fall under this responsibility. Contribute to the decorative setup and ambiance styling of events (table settings, thematic decoration, visual elements created on canva, etc.) to elevate the overall guest experience.

  • Support the Maître d’hôtel during numerous VIP lunches hosted in the dedicated executive space, guaranteeing refined service, discretion, and seamless coordination.

  • Manage event front‑desk operations: badge distribution, guest orientation, welcome desk setup, and smooth visitor flow.

  • Developing seasonal menus with the caterers, overseeing the restaurant’s daily operations, and organizing regular meetings to enhance service quality and plan themed weeks.

  • Assist in the organisation and smooth running of internal social events such as Happy Fridays, social events, team buildings and seasonal activities.

  • Manage key corporate and cultural events including

  • Guarantee a polished, memorable, and client‑centric atmosphere at all times, adapting to each event’s tone and audience.

  • Anticipate guest needs and respond proactively, with efficiency, discretion, and emotional intelligence.

  • Coordinate on‑site teams and external providers to ensure flawless event execution.

  • Train, supervise, and motivate interim service staff to uphold hospitality excellence.

  • Manage special requests and handle sensitive matters with diplomacy and professionalism.

  • Flexibility to support events occasionally scheduled in the evening.

 

Administrative & Logistic Support

  • Provide administrative, operational, and logistical support for all internal and external events.

  • Manage essential event logistics such as cloakroom service, badge preparation, signage, room setup, and guest routing.

  • Assist the Coordinator and the Hospitality Manager with daily administrative tasks.

  • Contribute to planning the annual event calendar, room bookings, and external venue coordination.

  • Prepare monthly hospitality statistics and track food & beverage (F&B) consumption.

  • Compile monthly reports related to F&B expenses and events.

  • Track leave, absences, and schedules for reception and hospitality teams.

  • The team is also regularly involved in new strategic projects, such as the opening of satellite offices, the launch of Arendt Residence, the setup of new locations in Paris and Frankfurt, or the upcoming opening of our relaxation and game room.

Reception Support

  • Provide backup at Reception during staff absences, lunch breaks, or whenever the team is understaffed due to planned leave or unexpected sick leave.

  • Welcome visitors, manage incoming calls, and ensure a smooth, professional reception service.

  • Maintain high presentation and service standards at the welcome desk.

Your profile:

  • Qualification in hospitality, tourism, event management, or luxury service.

  • Proven experience in hospitality, VIP service, event operations, or prestigious environments (4*/5* hotels, private aviation, corporate events, luxury concierge services).

  • Fluent in French and English, with excellent interpersonal and communication skills.

  • Strong sense of discretion, attention to detail, and client‑service mindset.

  • Ability to work in a fast‑paced environment, multitask efficiently, and adapt with flexibility.

  • Proficient with MS Office (Word, Excel, PowerPoint, Outlook).

  • Strong service orientation, reliability, and hospitality excellence.
