General Accountant & Payroll

Purpose of the role

The role secures two things Wengler cannot afford to lose: a correct, on-time monthly close and a correct, on-time payroll. It takes over payroll and time registration from the current Payroll Officer, who is retiring, and brings payroll calculation step by step from the external fiduciary into Wengler. It also backs up the accounting team so that no task depends on one person. Over time the role becomes the owner of automated accounting processes, working with the Director Finance, IT and Operations.

Accounting (~80%)

The role closes each month in the ERP by the 4th working day of the following month, together with the accounting team.

  • General ledger: book and check journal entries, accruals, deferrals and provisions; reconcile and explain balance-sheet accounts every month.

  • Fixed assets: keep the fixed-asset register up to date (additions, disposals, transfers); run and book monthly depreciation; reconcile the register with the ledger.

  • Accounts payable: check and book supplier invoices and credit notes; match them to orders and goods receipts; prepare payment runs; reconcile supplier accounts and clear open items.

  • Accounts receivable: book customer receipts and clear open items; follow up overdue customers with the sales team; reconcile customer accounts.

  • Bank: book bank statements and reconcile all bank accounts.

  • Monthly closing: run the closing checklist, post closing entries, check the trial balance and hand a clean month to the Finance Manager.

  • VAT and year-end: prepare the information for VAT returns, the annual accounts and the external audit.

Time registration and payroll (~20%)

The role owns the monthly payroll cycle end to end, first together with the external fiduciary and finally fully inside Wengler.

  • Time registration: run time registration for all employees, including warehouse staff; check hours, overtime, absences, leave and sickness; get managers' sign-off each month.

  • Payroll inputs: collect all monthly changes (new joiners, leavers, salary changes, bonuses, benefits in kind, company cars) and make sure they are complete and approved.

  • Payroll control: check every payroll calculation before it is paid; book payroll in the ledger and reconcile payroll accounts.

  • Declarations and payments: make sure social security (CCSS) and wage-tax declarations and payments are on time; answer employees' payroll questions.

  • Confidentiality: handle all salary and personal data strictly confidentially.

Running accounting alone when needed

When the two accountants are absent (holidays, sickness), the role runs all day-to-day accounting alone, with some support from the Finance Manager.

  • Knows every accounting routine of the team well enough to do it without help: invoice booking, payments, bank, customer receipts, closing.

  • Keeps written procedures for each routine up to date, so the team can also cover each other.

  • Makes sure the month is still closed on time when colleagues are away.
