Intern - Transfer Agency

Your role:

As a Transfer Agency Intern, you will support the Fund Administration & Transfer Agency (FA/TA) team in delivering high‑quality investor servicing to alternative investment funds (private equity, real estate, debt, infrastructure). You will gain hands‑on exposure to the full lifecycle of Transfer Agency operations - including onboarding, capital activities, investor register maintenance, documentation, and compliance support - within a highly controlled and regulated environment.

This internship is ideal for individuals interested in fund administration, transfer agency operations, AML/KYC, and Luxembourg’s alternative investment fund industry.

Your Responsibilities

1. Investor Onboarding & Static Data Maintenance

  • Assist TA Officers with the set-up of new investors in internal systems;

  • Support the collection, verification, and classification of AML/KYC documentation;

  • Help update investor static data (addresses, contacts, documentation) following the maker/checker process;

  • Ensure documentation is archived accurately in the system and indexed correctly.

2. Capital Activity Support (Subscriptions, Capital Calls, Distributions)

  • Assist in preparing investor-specific workings for commitment‑based or NAV‑based capital calls;

  • Help verify payment receipts against subscription documents and bank statements;

  • Support reconciliation of capital contributions and distribution payments;

  • Assist in generating contract notes and preparing them for review and investor dispatch.

3. Investor Register & Transaction Processing

  • Support the maintenance of the shareholder/unitholder register in the system;

  • Assist in booking investor transactions (commitments, subscriptions, redemptions, transfers, conversions);

  • Help prepare and validate data used for contract notes and other investor communications.

4. Documentation & Recordkeeping

  • Upload, classify, and archive documents (subscription forms, SWIFT confirmations, checklists, investor correspondence) in accordance with:

    • CSSF requirements,

    • Internal retention policies, and

    • Role-based access protocols.

  • Assist in maintaining accurate and complete investor files for audit readiness.

5. Compliance & Control Framework Support

  • Support AML/KYC teams by gathering required documents and updating system records;

  • Assist with control checklists (subscriptions, transfers, redemptions, capital calls);

  • Learn and adhere to four-eyes (maker/checker) principles and escalation procedures;

  • Help ensure all tasks comply with Circular CSSF 22/811 and internal TA procedures.

6. Audit & Reporting Assistance

  • Support the preparation of data for audit confirmations;

  • Assist in providing auditors with requested transfer agency information under supervision;

  • Help ensure all documentation is accurate, complete, and systematically stored.

7. Systems & Tools Exposure

During the internship, the candidate will develop practical skills using:

  • Fund accounting & TA system;

  • Workflow, checklist & internal control system;

  • Document management system;

  • Microsoft Office Suite (Excel, Outlook, Word).

Your profile:

  • Strong analytical and organizational abilities;

  • Good command of MS Excel and Outlook;

  • Interest in investment funds, private equity, or fund administration;

  • Basic understanding of AML/KYC or willingness to learn;

  • High attention to detail and accuracy;

  • Ability to follow procedures and structured workflows;

  • Strong communication skills (written and verbal);

  • Professionalism, integrity, and discretion when handling confidential data;

  • Ability to work collaboratively in an international environment.
