Facility & Hospitality Manager

Active in Luxembourg since 2011, the firm counts now more than 100 employees including more than 70 lawyers, genuine experts in their fields that provide full support to local and international groups on all legal aspects of their Luxembourg transactions, as well as their day-to-day operations.
We are currently looking to recruit a Facility & Hospitality Manager (Full-time – Based in Luxembourg) reporting to the firm's Managing Partner.
Your mission
As a Facility & Hospitality Manager, you will ensure the smooth operation of our office environment and the delivery of the highest level of hospitality services. This strategic role encompasses facilities management, support for internal events, security oversight, and contributions to sustainability initiatives. Your responsibilities will notably include:
Facilities & Space Management
- Oversee day-to-day facilities operations, including maintenance, cleanliness, and space management.
- Act as the main point of contact for internal facilities-related requests.
- Manage internal and external moves and contribute to space planning and parking allocation.
- Coordinate maintenance works and ensure timely resolution of technical issues.
Vendor, Contract & Budget Management
- Maintain ongoing oversight of suppliers to ensure optimal cost, quality, and service levels, while monitoring deadlines and contractual obligations.
- Supervise and coordinate external contractors and service providers (cleaning, maintenance, security, etc.).
- Manage service contracts, insurance policies, and other vendor agreements.
- Research, evaluate, and compare suppliers to support strategic sourcing decisions.
- Monitor budgets related to facilities, hospitality, and office services to ensure cost efficiency.
Hospitality, Reception & Events
- Ensure excellent and efficient customer service for all visitors.
- Oversee reception services and coordinate hospitality and logistical support for meetings and internal events.
- Liaise with internal teams and external vendors to ensure meeting rooms and event spaces are properly equipped.
- Provide on-site support during events and ensure post-event follow-up and facility restoration.
Security & Business Continuity
- Maintain a safe and secure working environment by enforcing security protocols.
- Coordinate with security contractors to ensure effective operation of surveillance, access control, and alarm systems.
- Ensure compliance with security standards, legal requirements, and internal policies through regular audits.
- Support the development and maintenance of the Business Continuity Plan (BCP), including risk assessment and contingency planning.
Sustainability & Compliance
- Take full ownership of sustainability and quality management initiatives, including ISO 9001 processes, EcoVadis and SDK certifications, and energy and waste management reporting, ensuring compliance, timely monitoring, and continuous improvement
Governance & Reporting
- Report directly to the Managing Partner and supervise the Reception team (2 people), while participating in management meetings and providing regular updates on facilities and hospitality matters.
Your profile
- Minimum 5 years of proven experience in Facilities or Hospitality Management, preferably in a law firm environment.
- Strong knowledge of workplace health and safety; Designated Worker (Travailleur Désigné Group C) certification is a plus.
- Excellent communication and interpersonal skills, approachable and service-oriented, with a strong focus on delivering a professional customer experience.
- Detail-oriented, proactive, and solution-focused, with a strong sense of responsibility, initiative, and organizational skills.
- Confident and professional, thriving in a multi-cultural environment.
- Proficient in Microsoft Office and comfortable with basic hardware tools.
- Fluent in spoken and written French and English.
