As an Administrator you will be part of the client service team and work on client administration functions, operational processes, and ensuring the highest standards of service delivery. You will support the client service team (at scale) and collaborate with other departments to meet the unique needs of our clients within the Luxembourg business.

Role and responsibilities (include but are not limited to):
Client Relationship Management
Manage day-to-day client queries with a proactively, solution-oriented mindset
Help prepare materials for client meetings and gradually take on more communication responsibilities
Spot opportunities to improve client satisfaction and support commercial initiatives
Risk Management
Assist in identifying risks associated with client operations. Maintain oversight of outstanding tasks and periodic risk ratings/reviews for client entities
Assist in maintaining accurate client records and documentation
Client Onboarding
Contribute the onboarding process for new clients, including due diligence and data collection
Assist with company secretarial and corporate governance duties, like scheduling meetings, preparing agendas, and drafting basic corporate documents
Support with investor services operations, including capital calls, distributions notices
Assist in preparing client reports, statements, and communications
Stay informed about Luxembourg financial regulations and assist in implementing updates
Client Communication and Reporting
Assist in response to client queries and requests in coordination with senior team members
Maintain client dashboards and trackers to monitor service delivery
Contribute to process documentation and workflow improvements
Support the preparation of regulatory filings and compliance documentation
Support KYC/AML processes by gathering client and investor documentation, performing initial checks, and coordinating with compliance teams during onboarding and periodic reviews
Work closely with the Associate Director and other team members to ensure smooth operations
Assist in monitoring compliance with internal policies and procedures
Technology Integration
Learn and use administration systems and reporting tools effectively
Assist in testing new system features and providing feedback for improvements
Support technology integration efforts to enhance client service delivery
Teamwork & Professional Standards
Work closely with teams/ cross-functional teams, to ensure smooth operations
Uphold a collaborative, professional, and client-focused team culture
Support knowledge sharing, mentoring of junior team members, and continuous improvement initiatives
Qualifications/Experience:
Bachelor or Master degree in either Law, Business, Economics, Finance or related field
1-2 years of experience in Luxembourg Fund Administration, Asset Servicing or similar in Luxembourg
Understanding of Luxembourg corporate law and the relevant alternative investment fund regulations
Some experience with administrative, company secretarial and corporate governance, transfer agency and cash management related tasks
Interest in private capital and alternative assets
Skills & Competencies:
Clear and professional communication and interpersonal skills
High attention to detail and commitment to deliver accurate work
Proficiency in Microsoft Office tools and willingness to learn systems
Strong organizational and time management skills
Eagerness to develop technical knowledge in fund administration
Ability to work collaboratively in a team environment, build strong working relationships, share knowledge and contribute to a cooperative and high-performing team environment
Languages:
Full fluency in English (spoken and written), French and/or German is considered an asset
