About the job
The Manager – Transfer Agency will supervise the transfer agency operations as deputy for investment funds based in Luxembourg, focusing on efficient investor servicing, adherence to regulatory standards, and the provision of exceptional client service. This position demands a comprehensive understanding of fund structures (Mostly AIFs), investor transactions, register operations as well as AML/KYC process. The successful candidate will be responsible for the transactional activity of TA, cultivate relationships with investors and fund managers, and drive improvements in operational efficiency.
What will you do?
- Oversee high quality delivery of the investor transactions, including subscriptions, redemptions, and transfers.
- Ensure accurate maintenance of shareholder registers and investor databases.
- Supervise the preparation of investor statements, confirmations, and regulatory reporting.
- Oversight of static data maintenance using internal data basis and/or TA software
- Ensure adherence to client SLAs, acting as the primary point of contact for transfer agency operational activities involving investors, fund managers, and third-party administrators.
Regulatory & Compliance Oversight:
- Ensure compliance with Luxembourg regulatory requirements, including CSSF regulations, FATCA, CRS, and AIFMD.
- Implement and maintain AML/KYC procedures in line with the regulatory/Fund guidelines.
- Prepare for and assist in regulatory audits, investor due diligence, and reporting.
Operational Management & Process Improvement:
- Mentor the transactional transfer agency team, ensuring operational excellence.
- Identify and implement process improvements to enhance efficiency and accuracy.
- Oversee automation projects and system upgrades for transfer agency functions.
- Monitor service level agreements (SLAs) with external service providers.
Stakeholder & Relationship Management:
- Maintain strong relationships with investors, fund managers, , and custodians.
- Collaborate with internal teams (fund accounting, compliance, risk management) to ensure seamless operations.
- Supporting the Senior manager in leading various TA related projects
- Handle complex investor queries and escalations professionally.
Key Requirements:
- 5+ years' experience in transfer agency, investor services, or fund administration (preferably in a central admin company or financial services).
- Strong knowledge of Luxembourg alternative investment funds (PE, RE AIFs, RAIFs, SIF).
- Experience managing a team and overseeing investor transactions.
- Familiarity with Luxembourg AML/KYC regulations and CSSF requirements.
- Understanding of TA-related systems and their role in the fund cycle.
- Master’s degree in business, economics, or finance.
- Fluent in English; additional languages are a plus.
- Strong analytical, problem-solving, and organizational skills.
- Experience handling daily operations, projects, and automation initiatives.
- Knowledge of operational risks, controls, audit, and internal frameworks.
- Detail-oriented, autonomous, and able to work under pressure.
