For one of the EU Institution, we are currently looking for :
Senior Administrative Assistant (M/F/D)
Context :
Reporting to the Chief Compliance Officer & Head of NFR within the Risk Office Department, you will provide comprehensive executive support in a role demanding absolute discretion and exceptional organizational skills. As a trusted partner handling highly sensitive and confidential information, you will ensure the smooth functioning of the CCO’s office, demonstrate flexibility to meet the Director’s schedule, and act as a back-up for other team assistants when required.
Task :
Key Responsabilités :
- Executive Support: Proactively manage the CCO’s complex agenda, organize travel, and act as the primary gatekeeper for internal and external communications.
- Confidentiality & Compliance: Handle highly sensitive information (AML/CFT, whistleblowing, risk events) with absolute discretion and strict security standards.
- Documentation & Reporting: Draft, proofread, and format official reports and presentations; ensure compliant archiving and document retrieval.
- Team Coordination & HR Support :
- Facilitate information flow between Compliance and NFR teams.
- Screen and sort CVs for recruitment processes.
- Manage the onboarding of new joiners and organize training workshops.
- Administrative Operations: Oversee budget tracking, invoice processing, and prepare materials for internal audits and risk assessments.
Qualifications and Experience :
• Minimum 5 years of experience as an executive assistant, senior administrative assistant, or secretarial assistant, ideally within a financial institution, EU institution, or control function (Compliance, Risk, Legal, Audit).
• Proven experience handling confidential and sensitive information.
• Excellent drafting, formatting, and communication skills in English; additional EU languages are an asset.
• Strong organizational skills with the ability to prioritize, multitask, and meet tight deadlines.
• High proficiency in MS Office applications and digital collaboration tools.
• Experience supporting committees, minute-taking, and preparing materials for governance bodies is a strong advantage.

Duration :
• Starts with a two-month contract (serving as trial period) with a high possibility of extension
