Primary Responsibilities:

• Actively participate in the planning and implementation of special internal and external projects for PCS.
• Draft Business Requirements Documents (BRD), plan, implement, and follow up on internal projects. Review and enhance current processes; implement best practices, automate, and standardize where possible.
• Establish an environment of continuous improvement, regularly assessing workflow, processes, and procedures to ensure maximum efficiency and quality within the PCS department.
• Conduct technical training for PCS or other teams closely collaborating with PCS if required.
• Review and comment on private placement memorandums and operating memorandums (Op Memo).
• Build fund fact sheets and review fund documentation.
• Perform setup in company systems, including specific files such as fees, waterfall, equalization, and performance fees.
• Design and draft process flows and/or business requirements.
• Perform IT development analysis and coordinate with T&O teams.
• Update operational procedures/checklists and conduct training and handover to Ops Lux/KL teams before go-live.
• Ensure operational readiness through detailed documentation and communication.
• Accountable for client satisfaction by ensuring deliverables meet client needs and expectations.
• Ensure the organizational framework supports quality client service and operational excellence.

Must-have Qualifications:

• Post-secondary education in accounting, finance, or business, or equivalent experience.
• Minimum of 7 years’ experience in Private Capital Services or the financial services industry in an operations environment, with extensive expertise in Transfer Agency.
• Project management or business analyst experience.
• Strong analytical and problem-solving skills.
• Proven organizational and time management skills.
• Good communication skills.
• Fluency in English and French is mandatory; knowledge of other languages is an asset.
• Focus on risk management and mitigation.
• Proven track record of developing and implementing innovation and change.
• Technical expertise with the ability to understand operating models end to end and business drivers.
• Interpersonal and networking skills, with experience dealing with clients, management, colleagues, and staff.

Nice-to-have Qualifications:

• Knowledge of systems such as SARA, Framework, Multifonds, Milvus, Efront, project management, or BA certification.
• Knowledge of SQL, VBA, and Access.
