What will you do?


  • Manage complex calendars, including scheduling high-level internal and external meetings, conference calls, and events

  • Prepare and handle confidential documentation, reports, presentations, and correspondence with accuracy and professionalism

  • Coordinate business travel arrangements and logistics, including itineraries, accommodations, and expenses

  • Assist with the preparation and follow-up of executive committee meetings, including drafting agenda, minutes taking, and action item tracking

  • Ensure efficient document and information flow while always maintaining discretion and confidentiality

  • Monitor deadlines, prioritize tasks, and provide proactive reminders to facilitate decision-making and leadership availability

  • Conduct research and gather data to support leadership in strategic planning and business reviews

  • Proven experience in a high-level administrative support role, ideally within a dynamic and professional services environment

  • Excellent command of written and spoken English and French

  • Strong organizational and time-management skills with exceptional attention to detail

  • Ability to handle sensitive information with the utmost confidentiality and discretion

  • Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and collaborative tools

  • Strong interpersonal skills, with the ability to interact effectively at all levels of the organization

  • Initiative, adaptability, and a proactive attitude
