Onboarding Assistant Manager – Fund Services
PURPOSE OF JOB
The role holder will be required to ensure a smooth onboarding of all new clients and/or entities within the Funds team. They should be able to demonstrate a clear understanding of the documentation required, present to the BAC & demonstrate excellent client service at all times. Risk awareness, relationship management and close collaboration with the business development and JTCL R&C team is also required.
MAIN RESPONSIBILITIES AND DUTIES
- Onboarding of new clients by guiding them through the documentary requirements to satisfy the BAC.
- Coordination and design of the operational setup based on conversations with the client. Understanding what they want to achieve and ensuring that the JTC ops teams are prepared.
- Make use of appropriate tools and documents and comply with defined procedures within the on-boarding team. Support the delivery of the project plan with respect to required set-up details and timelines. Coordinate and organize project meetings and calls with the client and keep track of the project tasks.
- Organizing/preparing the BAC file and the BAM.
- Awareness and adherence to contractual and statutory obligations under the Group’s policies, procedures and guidelines, including the Group’s core values and expected behaviours.
- Track the fund projects assigned. Ensure that all internal workstreams and committees are kept up to date. Inform stakeholders proactively about open tasks and issues and drive the implementation to achieve high client satisfaction.
- Ensure timely completion of each project, inform stakeholders in case of delay or changes in the project and escalate to the management within the project organization (e.g. onboarding meeting) if appropriate.
- Ensure that operational aspects and requirements in the on-boarding of new clients and fund/product or in case of material changes are considered and met. In particular support internal approval processes according to defined processes and internal policies for new fund projects.
- Ensure a professional service is provided to clients and intermediaries.
- Maintain accurate and up to date records of client entities, ensuring all statutory obligations are complied with.
- Maintenance of client/fund data on all internal systems.
- Where possible, promote the range of services the Group can provide to existing clients within the portfolio and identify new business opportunities.
- Adhere to Risk & Associated Compliance procedures in relation to regulatory requirements and AML legislation.
- Adhere to the Group’s core values and expected behaviours.
- Deputise in the absence of the line manager.
- Any other duties as deemed necessary by Management.
ESSENTIAL REQUIREMENTS
- Knowledge of the fund industry is a strong advantage.
- Minimum 5 years of experience in a similar position in a Fund Service provider or equivalent.
- Experience in alternative investment funds in Luxembourg (PE, RE, open/closed ended funds.
- Strong business ethic and a distinctive passion in servicing clients.
- Drive and commitment to excellence.
- Ability to work to tight deadlines while maintaining close attention to details.
- Ability to work with manual and automatic systems or software.
- High level of communication skills.
- Excellent at planning and organizing oneself accordingly.
- Analytical and problem-solving skills.
- Fluency in English is mandatory (written and spoken), any additional language will be an asset.
