Legal Assistant Compliance & Corporate

Tasks:

  1. Organising and attending practice group meetings and drafting meeting minutes
  2. Monitoring and following up on timesheets for practice group members, when required
  3. Opening and closing client files in accordance with lawyers’ instructions and internal procedures
  4. Ensuring regular follow-up of active files and proactively identifying files eligible for closure
  5. Proofreading, formatting and finalising legal documents and correspondence in line with internal standards
  6. Drafting basic correspondence related to partners’ activities
  7. Conducting basic legal and documentation research
  8. Assisting lawyers in the preparation of client trainings, seminars and webinars
  9. Performing filings and searches with the Luxembourg Business Register and the Register of Beneficial Owners
  10. Coordinating document legalisation requests (apostille)
  11. Preparing documentation for courts, bailiffs and administrative authorities
  12. Liaising with courts, bailiffs and other administrative bodies when necessary
  13. Applying a solid understanding of applicable AML/CFT regulations and internal AML/KYC procedures
  14. Assisting lawyers with initial AML/KYC due diligence and background checks
  15. Collecting, reviewing, organising and maintaining AML/KYC documentation
  16. Ensuring AML/KYC files are complete, accurate and regularly updated
  17. Participating in monthly AML Committee meetings
  18. Monitoring the proper implementation of internal AML/KYC policies and procedures
  19. Provides day-to-day administrative support (filing, reminders, task tracking)
  20. Coordinates appointments and transmits messages and files
  21. Records timesheets in the internal time management system
  22. Organises meetings, travel arrangements and business trips
  23. Provides back-up support to colleagues across practice groups when required
  24. Acts as a replacement for reception/helpdesk duties when needed




Profile:

  1. Bachelor’s degree in Business Administration, Secretarial Studies or equivalent experience
  2. Previous experience in a law firm is highly valued
  3. Knowledge of Luxembourg legal authorities and court systems
  4. Familiarity with Luxembourg legal terminology and procedures
  5. Good understanding of Luxembourg AML regulations
  6. Strong organisational skills with the ability to multitask and prioritise
  7. High attention to detail and accuracy
  8. Ability to work both independently and as part of a team
  9. Proficiency in MS Office applications
  10. Proficiency with legal time recording systems
  11. Excellent command of French and English; German and Luxembourgish are strong assets / Additional languages are considered an advantage
