Legal Assistant Compliance & Corporate
Tasks:
- Organising and attending practice group meetings and drafting meeting minutes
- Monitoring and following up on timesheets for practice group members, when required
- Opening and closing client files in accordance with lawyers’ instructions and internal procedures
- Ensuring regular follow-up of active files and proactively identifying files eligible for closure
- Proofreading, formatting and finalising legal documents and correspondence in line with internal standards
- Drafting basic correspondence related to partners’ activities
- Conducting basic legal and documentation research
- Assisting lawyers in the preparation of client trainings, seminars and webinars
- Performing filings and searches with the Luxembourg Business Register and the Register of Beneficial Owners
- Coordinating document legalisation requests (apostille)
- Preparing documentation for courts, bailiffs and administrative authorities
- Liaising with courts, bailiffs and other administrative bodies when necessary
- Applying a solid understanding of applicable AML/CFT regulations and internal AML/KYC procedures
- Assisting lawyers with initial AML/KYC due diligence and background checks
- Collecting, reviewing, organising and maintaining AML/KYC documentation
- Ensuring AML/KYC files are complete, accurate and regularly updated
- Participating in monthly AML Committee meetings
- Monitoring the proper implementation of internal AML/KYC policies and procedures
- Provides day-to-day administrative support (filing, reminders, task tracking)
- Coordinates appointments and transmits messages and files
- Records timesheets in the internal time management system
- Organises meetings, travel arrangements and business trips
- Provides back-up support to colleagues across practice groups when required
- Acts as a replacement for reception/helpdesk duties when needed
Profile:
- Bachelor’s degree in Business Administration, Secretarial Studies or equivalent experience
- Previous experience in a law firm is highly valued
- Knowledge of Luxembourg legal authorities and court systems
- Familiarity with Luxembourg legal terminology and procedures
- Good understanding of Luxembourg AML regulations
- Strong organisational skills with the ability to multitask and prioritise
- High attention to detail and accuracy
- Ability to work both independently and as part of a team
- Proficiency in MS Office applications
- Proficiency with legal time recording systems
- Excellent command of French and English; German and Luxembourgish are strong assets / Additional languages are considered an advantage
