Our client is a well-established player in the Private Equity sector, recognized for its strong track record and dynamic growth.


They are seeking a Head of Funds Operations (F/M) to join their Luxembourg-based team.


We are looking for a proactive, business-minded, technology-driven, and detail-oriented professional able to thrive in a fast-paced and highly ambitious environment.

Reporting to the Head of Luxembourg, this role will be instrumental in overseeing fund operations, driving change management initiatives, and redesigning the operational model to support enhanced client service, operational excellence, and scalability. The position involves close collaboration with internal teams (finance, legal, investor relations, investment, compliance, ESG) as well as external stakeholders (central administrators, auditors, depositaries, etc.) across jurisdictions.


Key Responsibilities :


  • Supervise the preparation of quarterly reporting (LP reports, capital accounts), capital calls, distributions, complex calculations (hurdles, carried interest, etc.), and monitor cash flows and fund financing, as well as approve fund expenses.
  • Lead the transformation of the fund operations function, including process optimization, technology implementation, and operating model redesign.
  • Drive change management activities, ensuring smooth adoption of new processes, systems, and governance frameworks.
  • Manage and enhance the oversight model with external service providers (depositary, administrative agents, auditors) and internal fund controllers.
  • Strengthen data management, ensuring data accuracy, integrity, and availability for reporting, forecasting, and performance analytics.
  • Lead, mentor, and develop the team, fostering a culture of continuous improvement and operational excellence.
  • Liaise with investor relations teams to address ad-hoc investor queries and prepare tailored investor reports.
  • Perform in-depth analysis and forecasting of fund budgets and cash flow statements.
  • Ensure the accuracy and compliance of fund accounts with applicable accounting standards.
  • Coordinate closely with investment, structuring, and legal teams to support new investments and divestments.
  • Monitor and update securities held in the portfolio in coordination with depositary banks.


Profile :


  • At least 10 years of experience in a similar role, ideally within a peer institution and/or an external service provider.
  • Demonstrated experience in change management, process transformation, and/or operating model redesign.
  • Strong exposure to data management, fund oversight, and interaction with external providers.
  • Fluency in English is essential.
  • Strong attention to detail and excellent organizational skills.
  • Strong interest in financial modelling, digitalization, and innovative tools (AI, automation, advanced analytics).
  • High motivation, resilience, and commitment to long-term professional development.
  • Proven ability to lead teams and work collaboratively in a fast-paced, evolving, and ambitious environment.
  • Capacity to work effectively in contexts of high complexity and ongoing change, delivering consistent and impactful results.
